RENTAL TERMS + CONDITIONS

  1. When using any candles, please ensure the candles are contained. Any cleaning required of spilled candle wax will result in a cleaning fee of $250+HST being invoiced separately.
  2. Please make sure clients, guests, caterers and florists work within the requirements as specified in this contract.
  3. Bring Your Own Wine (BYOW) is an option, but requires all wine to be commercially made. Make Your Own wine is not acceptable under the BYOW endorsement. Please confirm your wine selections with the Event Manager prior to the event.
  4. With all BYOW a $10.00/750ml and a $15.00/1.5L corkage fee, is charged per bottle opened on site. This wine may only be served during dinner hours. Any unopened wine is returned to the client at the end of the event.
  5. Smoking is only permitted outdoors in designated areas at least 9 meters from the entrance, as per City of Toronto Municipal Code Chapter 709- Smoking. Smoking under any circumstance is NOT permitted on the patio or indoors, or on the dock if a ceremony is held on the dock.
  6. All children are to be supervised by an adult 18 years of age or older, at all times.
  7. Confetti, rice, sand, bubbles, glitter and/or sparkles are not permitted inside the The Henley Room or ARC Facilities. A cleaning fee of $250.00+HST will be invoiced separately in the event that these are brought into the facility.
  8. Additional hours are available for set-up upon request. A fee of $75.00+HST per hour for same day set-up will be applied to your invoice. If you need to book time on a separate day for a rehearsal or for set-up, then the fee of $100.00+HST per hour with a 2 hour minimum will be applied to your invoice.
  9. The final balance will be invoiced at the end of the event and payment is required immediately at the closing of the event.
  10. Please have all personal decorations and equipment out of the building within 1 hour after the end of the event. Alternative day pick-up arrangements must be confirmed with the Event Manager prior to the day of the event.
  11. All personal garbage must be separated into waste (black bags) and recyclables (clear bags) and placed in the dumpster located in the ARC parking lot. A dumping fee of $250+HST will be invoiced separately if any garbage related to the event is found outside of the dumpster on the ARC property.
  12. Events cancelled 30 days or less, prior to the event will be charged 50% of the venue rental fee plus HST.
  13. Events cancelled 7 days or less, prior to the event will be charged the full rental fee for the day, plus HST.
  14. Events cancelled 72 hours or less, prior to the event will be charged the full rental fee and the agreed upon minimum bar spend of $1,200.00+HST.
  15. All fees and services are subject to applicable 13% Harmonized Sales Tax (HST).
